Personal Assistant / Accounts Assistant
We are recruiting on behalf of a growing SME for a highly organised and proactive Personal Assistant to the Managing Director, with additional responsibility for accounts and payroll.
This is a varied, hands-on role combining high-level administrative support to the MD with day-to-day finance and payroll responsibilities. The successful candidate will be trusted to manage competing priorities, handle confidential information and take ownership of tasks from start to finish.
Key Responsibilities
PA & Business Support

Provide proactive and confidential PA support to the Managing Director.

Manage diaries, meetings, appointments and calls.

Organise domestic and international travel arrangements.

Prepare and proofread correspondence, reports, presentations and meeting documents.

Support business projects, events and management initiatives.
-
Carry out research and gather information to support decision-making.
-
Monitor key deadlines, contracts, renewals and business commitments.

Anticipate requirements and resolve day-to-day issues using initiative.
Accounts Support
Working alongside the Financial Controller, responsibilities will include:

Sales and purchase ledger administration.

Preparing and processing customer and supplier invoices.
-
Matching purchase orders, delivery notes and invoices.
-
Coding invoices to the correct nominal accounts and cost centres.

Assisting with credit control and monitoring outstanding invoices.

Processing supplier payments.
-
Supporting VAT preparation and general finance administration.
Payroll
-
Process monthly payroll accurately and within agreed deadlines.

Process employee starters and leavers.

Check timesheets and payroll information.

Maintain accurate and confidential payroll records.
About You
The successful candidate will have:

Previous experience in a PA, Executive Assistant, senior administration or similar role.

Experience managing diaries, meetings and travel arrangements.

Excellent organisational and communication skills.
-
Strong attention to detail and the ability to manage multiple priorities.

A high level of discretion and confidentiality.

Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.

Previous experience in accounts administration, bookkeeping or purchase/sales ledger.

Experience with payroll processing or payroll administration.
-
Experience using accounting software such as Sage, Xero or QuickBooks.

Strong numerical skills and a high level of accuracy.

The ability to work independently, use initiative and take ownership.
Experience supporting a Managing Director, business owner or senior leadership team would be advantageous, as would AAT, bookkeeping or payroll qualifications.
The Person
This role would suit someone who is proactive, organised, trustworthy and adaptable, with the confidence to move between senior-level administrative support and hands-on finance tasks.
You will be comfortable working in a small business environment where priorities can change quickly and where being willing to get involved and make things happen is important.
